Permit students to cancel their booking for a session between a set period of time.
To enable this option, follow these simple steps:
Navigate to the Online bookings main menu and head to Settings under Setup.
Click on the Preferences tab and scroll to the Manage session redemptions and cancellations section.
3. Under Redemption and cancellation preferences, toggle on Allow student to cancel bookings before class starts. Once enabled, students can cancel a booked session within the cancellation window you set below.
4. Under Cancellation permitted, select the desired value and time unit (Minutes, Hours, or Days) from the drop-downs to define how far in advance a student can cancel before class starts. Then click Save.
For example:
If you set the cancellation window to 30 Minutes, the student will be able to cancel a session only up to 30 minutes before the session starts.
If you set it to 2 Days, the student will be able to cancel a session only up to 2 days before the session starts.
💡 Note: The cancellation window preview shows three zones — Cancel disabled (too far out or too close), Free cancellation (student can cancel without losing credit), and Loses credit (student cancels but the session credit is forfeited).
Limit how far in advance students can cancel
You can also restrict cancellations from being made too far in advance.
Toggle on Limit how far in advance students can cancel to disable the cancel button for classes that are further out than the limit you set.
Under No earlier than, select the value and time unit (e.g. 6 Days) before class start.
When this is on, the cancel button is disabled for classes further out than the limit set. In other words, students will not be able to cancel a session more than the specified number of days/hours before it begins.
For example, you can allow cancellations up to 30 days before class start, while still requiring a minimum notice period of 1 day before class.
Limit cancellations to available make-up credits
Toggle on Limit cancellations to available make-up credits to restrict free cancellations to students who have make-up credits remaining in their bundle. When this setting is on:
Students can cancel for free only if their bundle has make-up credits remaining.
Cancellations beyond the credit limit, or inside the cancellation window, are recorded as late cancellations. The session is forfeited and billable.
Make-up credits are defined per bundle.
