How to Access Reports

Track performance, monitor operations and growth, and make data-driven decisions with Classcard's comprehensive reports.

Classcard offers a comprehensive set of reports to help you track performance, monitor growth, and make data-driven decisions for your business.

To access reports, navigate to the Reports main menu on the left side of the screen.

Reports are divided into the following categories:

You can ⭐ Star your favorite reports so they appear right on top, for quick access.

1. Sales Reports

Sales reports help you track revenue, invoices, and collections across subjects, packages, staff, and locations to monitor cash flow and sales performance.

The following sales reports are available under Reports > Sales reports:

  • Sales by subject – View invoiced revenue and quantity from each subject to understand which classes/activities perform best.

  • Sales by packages - Analyze sales based on different packages offered and identify the most popular ones.

  • Sales by categories - Track invoiced revenue distribution across categories.

  • Sales by products - Analyze product-specific billing and quantities to gauge product sales.

  • Sales by students - Analyze invoiced amounts per student to understand individual revenue contribution and billing history.

  • Sales by staff - View invoice sales linked to each staff member.

  • Sales by class - Track class-wise revenue across daily, weekly, or monthly periods.

  • Sales by locations - Compare revenue across different locations to identify performance patterns.

  • Installment payments - Track invoiced installments with paid, overdue, and upcoming statuses to manage staggered collections.

  • Collections by payment mode - Analyze invoice payments by payment method (cash, cheque, bank transfer, etc.) to track revenue flow through different channels.

  • Invoice credit balance - Track available credit balances per student to manage refunds, adjustments, or future payments.


2. Student Reports

Student reports provide insights into enrollments, batch progress, unbilled sessions, credits, and fees to understand student engagement and retention.

The following sales reports are available under Reports > Student reports:

  • Enrollment by student - Analyze student enrollments tied to invoices, with insights into sessions consumed, scheduled, and pending revenue.

  • Enrollment by subject - Analyze student enrollment patterns with respect to subject.

  • Unbilled sessions - Identify sessions attended by students that haven’t yet been invoiced.

  • Session utilization - Monitor students nearing session expiry or with low remaining sessions to manage renewals and follow-ups.

  • Registration fees status - Track invoiced registration fees with their status and validity.

  • Student retention - Compare student invoices across periods to identify new, repeat, and churned students for retention analysis.

  • Student by skill tracks - Monitor skill levels and grades assigned to each student.


3. Staff Reports

Staff reports provide a clear view of staff working hours, leaves, and payouts to manage team performance and operational planning effectively.

The following sales reports are available under Reports > Staff reports:

  • Payroll calculator - Calculate staff payouts based on configured pay rates, class hours and sessions conducted.

  • Leaves by staff - Track all staff leave requests by type, duration, and approval status to balance scheduling and availability.

  • Timesheet by staff - Monitor staff availability, occupancy, and class hours to evaluate workload distribution and teaching capacity.


4. Lead Reports

Lead reports help you analyze enquiries, engagement, conversions, and lost reasons to measure lead performance and sales effectiveness.

The following sales reports are available under Reports > Lead reports:

  • Trial conversions - Track trial classes, attendance, and outcomes to measure how effectively leads are converted into enrolled students.

  • Lead task tracker - Monitor every task linked to leads, with details on ownership, due dates, and status to ensure timely follow-ups and accountability.

  • Lead activity tracker - Track tasks and notes created by each lead owner to monitor engagement efforts and ensure timely follow-ups.

  • Lead lost reason - Identify and analyze why leads were lost to identify common patterns and improve future conversion strategies.


5. Attendance Reports

Attendance reports track student attendance, cancellations, schedules, and makeup balances to maintain accurate participation records.

The following sales reports are available under Reports > Attendance reports:

  • Attendance by student - Monitor student participation with detailed records of class attendance, timings, staff, and linked invoices.

  • Unmarked attendance - Identify classes where attendance is pending.

  • Attendance percentages by student - Track overall attendance patterns with student-wise counts of presents, absents, totals, and attendance percentages.

  • Attendance by class - Track attendance on a class-by-class basis, highlighting presence, absences, and percentages for each scheduled date.

  • Attendance by subjects - Monitor attendance across different subjects with detailed counts of presents, totals, and percentage attendance for each student.

  • Make-up summary - Track credited, consumed, and remaining make-up classes with student-wise details on allowances, purchases, and balances.

  • Session cancellations - Track all cancelled classes with details of dates, timings, staff, and students.


6. Location Reports

Location reports help gain insights into location occupancy, enrollments, and utilisation to evaluate performance across multiple centres.

The following sales reports are available under Reports > Location reports:

  • Location occupancy - Track seat limits, enrollments, and occupancy rates across locations to optimize space usage and capacity planning.
